osAlign provides AI-powered surgical planning software offered as a software-as-a-service platform for licensed veterinary professionals. Protecting the privacy, confidentiality, and security of user information and veterinary patient data is a core part of how osAlign designs, builds, and operates its products.

This Privacy Policy explains how osAlign collects, uses, processes, stores, protects, and discloses information when you access or use our software, website, APIs, and related services. It applies to all users of the osAlign platform.

Information We Collect

osAlign collects information necessary to provide secure, reliable, and professional surgical planning services.

When you create an account, subscribe, or communicate with osAlign, we collect professional and account-related information. This may include your name, email address, encrypted authentication credentials, veterinary or professional license information, practice or clinic details, role or job title, subscription status, billing-related records, and communications with our team. Billing and payment information is processed through third-party payment providers and is not stored directly on osAlign systems.

When you use osAlign for surgical planning, you may upload or generate veterinary patient data. This can include radiographic images such as X-rays and DICOM files, surgical planning files, measurements, landmarks, angles, annotations, and case notes. Patient identifiers are not required by osAlign and are only included if you choose to provide them. You are responsible for ensuring that any data you upload complies with your professional obligations and applicable laws.

osAlign also automatically collects limited technical and usage data to maintain platform stability, security, and performance. This may include IP address, approximate geographic region, device and browser information, authentication events, feature usage patterns, session duration, and diagnostic or error logs. This information is used for operational purposes and is not intended to identify veterinary patients.

How We Use Information

osAlign uses collected information to operate, maintain, and improve the platform and Services. This includes delivering surgical planning tools, generating AI-assisted measurements and visualizations, storing and retrieving case files, managing subscriptions, providing customer support, and communicating important service-related updates.

Usage and technical data are used to monitor system performance, detect errors, prevent misuse, improve reliability, and protect the security of the platform. Aggregated and de-identified usage data may also be used to understand how features are used and to guide product improvements.

We may process information as necessary to comply with legal obligations, enforce our terms, protect the rights and safety of osAlign and its users, and respond to lawful requests.

AI and Machine Learning Use

osAlign uses artificial intelligence and machine learning models to assist with anatomical landmark detection, measurement automation, and surgical planning workflows.

Veterinary imaging data may be used to train and improve these models only after it has been anonymized and de-identified. Prior to AI training, all embedded metadata is removed, patient identifiers are stripped, and the data is detached from user accounts. Once anonymized, the data cannot be re-associated with a specific patient, practice, or user.

Enterprise customers may request to opt out of AI training for future data by contacting osAlign in writing. Opting out does not affect access to core platform features or functionality.

Data Security

osAlign implements commercially reasonable, industry-standard technical, administrative, and organizational safeguards designed to protect data from unauthorized access, loss, misuse, or disclosure.

Data is encrypted in transit using secure communication protocols and encrypted at rest using strong encryption standards. Access to systems is restricted through role-based permissions and least-privilege principles. Administrative access is protected through additional security controls, and access activity is logged and monitored.

Our infrastructure is hosted on enterprise-grade cloud platforms with continuous monitoring, automated backups, and regular security testing. While osAlign takes data security seriously and follows best practices, no system can be guaranteed to be completely secure, and we cannot guarantee absolute security.

Data Sharing and Disclosure

osAlign does not sell, rent, or trade personal information or veterinary patient data.

We may share limited information with trusted third-party service providers only as necessary to operate the platform and deliver Services. These providers may support cloud infrastructure, payment processing, email delivery, analytics, monitoring, or customer communications. All service providers are contractually required to protect confidentiality and maintain appropriate security safeguards.

We may disclose information if required to do so by law, subpoena, court order, or other legal process, or if disclosure is necessary to protect the rights, property, safety, or security of osAlign, our users, or the public.

If osAlign undergoes a merger, acquisition, restructuring, or sale of assets, information may be transferred as part of that transaction. Users will be notified of any material change in ownership or data handling practices.

Data Retention

osAlign retains information only for as long as necessary to provide Services and meet operational or legal requirements.

Information associated with active accounts is retained while the account remains in good standing. After account closure, data is deleted according to subscription tier. Free and Basic accounts are deleted within approximately 30 days, Pro accounts within approximately 90 days, and Enterprise accounts according to contractual agreements.

Anonymized data used for AI training may be retained indefinitely. Encrypted backup copies may persist for a limited period after deletion for disaster recovery purposes.

Your Rights and Choices

Depending on your jurisdiction, you may have rights to access, correct, delete, restrict, or export your information, and to object to certain processing activities. Requests related to data access, deletion, account management, or AI training opt-outs can be made by contacting osAlign directly.

We will respond to verified requests within a reasonable timeframe and in accordance with applicable law.

Cookies and Tracking Technologies

osAlign uses cookies and similar technologies to maintain sessions, remember user preferences, enhance security, analyze platform performance, and improve the user experience. You can control cookies through your browser settings, though disabling cookies may limit functionality.

Children's Privacy

osAlign is intended solely for professional use by adults. We do not knowingly collect information from individuals under the age of 18. If such information is discovered, it will be deleted promptly.

International Data Transfers

Your information may be processed or stored in jurisdictions outside of your own. When this occurs, osAlign implements appropriate safeguards designed to protect your information in accordance with applicable laws and industry standards.
